As the year draws to a close, it's the perfect time to take a look back at what 2022 has been like at Eventscase.
If there have been two major areas that our product and development team have worked tirelessly on this year, it would be the Digital Venue and the new meetings system which will gradually replace our classic 1-2-1 meeting scheduler.
Based on the image above, we can compare "the before and after" of our website facility for virtual and hybrid events—the Digital Venue. Thanks to its flexibility, it has now also been adapted for face-to-face events.
One of the most notable changes happened within its layout: there are now two floating menus on both sides of the screen. The left-hand side menu provides easy access to event contents (Home, Agenda, Exhibitors) whereas the right-hand side menu allows attendees to check out their user settings, messages, calendar, and the attendee list.
But the magic does not stop there! What used to be a minimalist tool now offers you more personalisation options since you can now change the entire color scheme of the Digital Venue and upload a header image, a background image, and even a favicon. This will allow you to highlight your branding more accurately and make the page as attractive as possible.
The Digital Venue's homepage is also another milestone that we achieved this year. It provides attendees the base to navigate around major sections of the hub. If you've contracted the website product for the same event, you may also add the website topbar throughout the entire Digital Venue.
Apart from all the improvements to the design and UX of the Digital Venue, our product team also delivered strongly on networking and engagement options. You may now show or hide the attendee list with a click of a button and allow attendees to message one another, schedule meetings, and engage in video calls through a "Digital Coffee". The new meetings system will be explained in more depth below.
Moreover, major improvements were also done to make our live interaction tools more functional. Your attendees can now participate in live polls, Q&A's and chats within each streaming.
Last but not least, within each livestreaming, you may now also add custom tabs using iframes. This means that you can add bespoke content to complement your stream such as third-party live polling solutions, simultaneous translations, video galleries, instructional pages, etc. The possibilities are endless as long as you can work around iframes.
What would events be without networking? Platforms like Eventscase have to facilitate it and provide different tools to bolster human connection. We have worked very hard this year to deliver an all-new meetings system that is not only functional but also flexible for different networking types.
Considered as a major breakthrough for 2022, let us delve into the new meetings system. Within any page of the Digital Venue, as long as users have access to the attendee list, they can now schedule structured meetings with other participants similar to Eventscase's classic 1-2-1 meeting scheduler.
By simply clicking on "Request meeting" within any attendee profile, users are given the option to name the meeting, define the time and date, drop a message, and even add other participants for group meetings.
In terms of "where" the meeting is taking place, our solution works in conjunction with our native videoconferencing solution for virtual or hybrid events. For face-to-face events, configurations can be made to define physical spaces. You may allow attendees to meet in spaces with an undefined capacity or in spaces with limited capacities. What's more, you may even allow attendees to meet in numbered tables appropriate for one-to-one or group meetings.
Attendees who receive meeting requests can accept or reject proposals accordingly. The new meetings system also works hand-in-hand with automatic emails to make sure that attendees are always in the loop about any networking opportunity. Lastly, event organisers can now also define time frames on when attendees can meet via the new "Availability Schedule". This is where the duration of each meeting is configured as well as the exact hours on when attendees can meet.
